Participant guidance

  • The virtual conference is held completely online, similar to a face-to-face conference. A chairperson coordinates each session.
  • The conference will be delivered via a professional platform.
  • The conference platform is rich in features such as text-based chat, polling options and a networking area.
  • All registered participants can attend all sessions and switch to the networking area at will.
  • The platform will be managed by an external technical support team and the knoell team.

  • The conference platform is optimised for the Google Chrome or Microsoft Edge browsers.
  • Make sure you have access to a stable internet connection, as well as a decent webcam and audio connection ideally with a headset.

You need to register to get access to the conference platform.

  1. Simply click on the link in your invitation email to access the website of the conference platform.
  2. Register via the form and receive a ticket number by email.
  3. Click on the link in the email and log in using your ticket number.

You will have full access to our conference platform.

As a rule, the presentations are held live in the virtual conference room.

During the presentation, you can ask your questions via the Q&A Chat, which will be read out by the session chair. You will find the chat to the right of the live session frame. The speaker will answer your questions verbally.

Before you can use the Networking functions, you must give your web browser permission to access your microphone and camera. The Networking Area can be accessed without a camera; however, you do need to have a microphone.

Click and hold anywhere in the Networking Area and your avatar will move to your clicked position. When you get close to another avatar, let go, and a circle will open. You can see this in action here.

Networking options

In general it is possible to have group discussions as well as 1:1 conversations, both can either be open for all to join or held in an protected area.

  • To start a conversation with others enter a preexisting circle; you will automatically become part of the conversation.
  • To invite other participants to your conversation hover over an avatar in the room, click “Invite to circle”. They will then see an invitation next to the Chat Icon saying, “Let’s chat!” Accept the invitation and a circle will form.
  • To meet privately with other participants hover over an avatar in the same circle, click “Invite to Circle”.” They will then see an invitation next to the Chat Icon saying, “Let’s break out!”. Accept the invitation and a new circle will form outside of the pre-existing circle.

Data protection

Your data will be used and stored by knoell Germany GmbH for the organization of the event in compliance with the Bundesdatenschutzgesetz (BDSG – German Federal Data Protection Law) and with the EU General Data Protection Regulation (GDPR). Please note that your data may be forwarded to our vicarious agents and cooperation partners for the purposes of the execution of the event.

We would like to inform you that we are using the provider Streavent to organise the Symposium. We have concluded a data processing agreement with Streavent, which ensures that an appropriate level of data protection applies to your data - also with regard to the partner companies Streavent uses, as is standard practice, to ensure the optimal functionality of its services.

knoell entered into direct contract with Zoom, used as additional module implemented in the conference platform, further details on data protection are provided below.

The third party providers used are Zoom, ContentFlow, Slido and Wonder.me.

Zoom is a video streaming platform used to hold the virtual meetings at the Symposium. Zoom is operated by Zoom Video Communications Inc. (55 Almaden Blvd, Suite 600, San Jose, CA 95113, USA).

ContentFlow is a livestreaming platform offered by Content Flow GmbH (Kiefholzstr. 1, 12435 Berlin) and serves as a cloud interface for the best possible organisation of the Symposium.

Slido is a Q&A and voting platform and is operated by sli.do s. r. o. (Vajnorská 100/A, 831 04 Bratislava, Slowakia). This platform enables instant feedback and live polls, amongst other things.

Wonder.me is a browser-based service provided by Wonder Technologies GmbH (Tempelhofer Ufer 1A, 10961 Berlin) that supports the allocation of video conference rooms and is used for enabling networking at the Symposium.

The integration of these partner services by Streavent serves the purpose of being able to offer you the smoothest and most user-friendly event experience possible. For this purpose, personal data will be sent to the partner companies to the extent necessary. This data will only be stored as long as it is necessary for the execution of the Symposium. The legal basis for data processing is Art. 6 para. 1 p. 1 lit. b) and lit. f) GDPR, whereby our legitimate interest lies in the above-mentioned purpose.

Please ensure that you comply with the terms of use of the respective providers. This includes in particular checking that you do not infringe any third-party rights (in particular copyright/trademark or patent rights, personal rights or other third-party rights) within the scope of the Symposium.

In this context, we would also like to point out that the use of partner companies (especially Zoom) may involve the transfer of data to the USA. The USA is a third country whose level of data protection is not comparable to that of the EU. Insofar as data is transferred to the USA, this is always done in accordance with Art. 44 et seq. of the General Data Protection Regulation (GDPR). So-called standard contractual clauses within the meaning of Art. 46 GDPR have been concluded as suitable guarantees.
